SENIOR LIVING
CMMS Software for Senior Living Communities
Residents live here. Maintenance is part of their care.
Resident requests, life safety inspections, and building systems maintained with the documentation a state survey asks for.
- Resident request intake
- Life safety evidence
- Survey-ready records
WHAT CHANGES
What a CMMS changes in a community
A survey can arrive unannounced, and a resident request is a care issue rather than a ticket. These are the four things community teams tell us they are trying to fix.
A resident tells a caregiver about a problem and it never reaches maintenance.
Care staff submit from a phone in seconds with the room attached, so the request reaches the queue instead of a memory.
Life safety inspections — fire doors, alarms, generators, water temperatures — live on paper per community.
Each runs as scheduled work with readings, photos, and sign-off, retrievable during a survey rather than reconstructed.
Water temperature and scald risk checks are done but not documented in a way anyone can produce.
Readings are captured on the round against the fixture, so the record exists as a by-product of doing the work.
Unit turns hold up move-ins because nobody can see what is outstanding.
Turn work is a tracked checklist per unit, so the leasing team can see readiness without asking.

NOVA
Build the survey binder you keep assembling
Nova is UpKeep's AI assistant, and it builds apps. Describe the round or the report you need and Nova builds it against your own community data.

Teams running maintenance on UpKeep
Senior living maintenance software: common questions
What is senior living maintenance software?
It is the system a community uses to receive resident requests, run life safety and environmental rounds, and maintain the building — with documentation a state surveyor can be shown.
It differs from hospital software mainly in who reports: most requests come from care staff and residents rather than from clinical engineering.
Is this different from your Healthcare page?
Yes, and the difference is real. Healthcare is written around clinical and biomedical equipment in a hospital setting.
Senior living is residential: the building is someone’s home, requests come from care staff, and the compliance surface is life safety and environment of care rather than medical device management.
Does UpKeep cover life safety compliance for a state survey?
It runs the inspections and holds the evidence: schedules, readings, photos, and sign-off, retrievable by community and by date.
It does not interpret your state’s regulations or guarantee a survey outcome. The requirements stay yours; what changes is that the proof exists.
Can care staff submit requests without a license?
Yes, and this is usually the biggest change. Care staff and residents submit from a phone or a QR code with no account and no paid seat, so a problem reaches maintenance the first time it is mentioned.
Does it handle medical equipment?
Basic equipment yes, as assets with schedules. But UpKeep is not a biomedical equipment management system and should not be positioned as one where a clinical engineering department exists.
How much does UpKeep cost for a community?
Priced on the people who close work, not on residents or units. In practice that is the maintenance director and their team; care staff raising a request are free, and that is deliberate, because they are the ones who hear about problems first. The pricing page carries the current tiers.
How long does implementation take?
Weeks per community. Start with resident request intake, because it changes daily life immediately, then add the life safety rounds before your next survey window.

GuideThe Reliability Playbook: Capturing 20 Years of Know-How Before It Walks Out the Door
A fully staffed plant still loses hours to failures a retired technician would have caught in minutes. This playbook reframes the problem: knowledge is disappearing because no system was built to capture it. It lays out a three-part framework for closing that gap and shows what changed at one plant that stopped hiring its way out and instead started capturing what its people already knew.

ReportThe 2026 State of Maintenance Report
This year's report reflects a fundamental shift in how maintenance creates competitive advantage. While 90% of teams recognize what drives reliability, only 25% can consistently execute it. The gap between knowing and doing has become the defining challenge and opportunity of 2026.
