DATA CENTERS
CMMS Software for Data Centers
Uptime is the contract. Maintenance is how it is kept.
Generators, UPS, cooling, and electrical distribution maintained with method statements, permits, and the evidence an uptime audit asks for.
- Critical asset PMs
- Contractor permits
- Completion evidence
WHAT CHANGES
What a CMMS changes in a critical facility
Nothing here is allowed to fail, which makes the record as important as the work. These are the four things critical facilities teams tell us they are trying to fix.
Generator, UPS, and chiller maintenance is delivered by vendors and evidenced by their invoices.
Every visit attaches to the asset with the readings taken and the work done, independent of the invoice.
Method statements and permits live in email until an incident makes them matter.
Work on critical plant carries its permit and method statement on the work order, and closure requires them.
An uptime audit asks for two years of maintenance evidence per asset.
Records are retrievable by asset and date because they were captured as the work happened.
Deferred work on redundant plant is invisible until redundancy is gone.
Overdue PMs on N+1 systems escalate, so the loss of redundancy is a decision rather than a discovery.

KEY WORKFLOWS
Maintenance workflows in a critical facility
Vendors do much of the work and the operator carries the risk. These are the hand-offs.
Work is needed on live plant
An audit or a client asks
- Analytics Maintenance history per critical asset, by date, with evidence attached.
- Vendor Management Vendor insurance, certification, and scope held current.
- Capital Planning Condition and age support the replacement plan for the plant behind the SLA.
NOVA
Produce the evidence pack without assembling it
Nova is UpKeep's AI assistant, and it builds apps. Describe the report an auditor or client asks for and Nova builds it against your own asset data.

- Which critical assets have overdue preventive work?
- Build a generator load test log with reading capture.

Teams running maintenance on UpKeep
Data center maintenance software: common questions
What is data center maintenance software?
It is the system used to maintain the mechanical and electrical plant behind an uptime commitment — generators, UPS, switchgear, chillers, CRAC units — and to hold the evidence that the work was done to standard.
The record is as much of the product as the work, because it is what an audit or a client asks to see.
Is UpKeep a DCIM system?
No, and this is the boundary to be clear about. DCIM handles capacity, power chain modelling, rack-level monitoring, and asset placement.
UpKeep handles maintenance: the schedule, the work, the vendor sign-off, and the evidence. Most operators run both, and the two are not substitutes.
Does it monitor power and environmental conditions?
Not as a BMS or an EPMS replacement. Edge sensors cover general condition monitoring, but critical power and cooling monitoring belongs in the systems built for it.
What UpKeep does is turn an alarm from those systems into recorded, evidenced maintenance work.
Can we enforce permits and method statements?
Yes. A work order on critical plant can require its permit and method statement before it starts, and require evidence before it can be closed. That is usually the reason this segment moves off a spreadsheet.
Can we prove a vendor did what they billed for?
Yes, and independently of the invoice. Sign-off, readings, and photos attach to the asset, so the maintenance history is yours rather than reconstructed from vendor paperwork.
How much does UpKeep cost for a data center operation?
Per user per month, on people rather than racks or megawatts. Vendors doing the physical work through Providers do not each need a paid seat, which keeps the count close to your own headcount. See the pricing page for tiers.
How long does implementation take?
Plan in months rather than weeks, and phase by asset class. Start with the critical plant that already has a vendor contract, because the schedule and the evidence requirements are already defined.
The long pole is usually agreeing what evidence closure requires, not configuring the system.

GuideThe Reliability Playbook: Capturing 20 Years of Know-How Before It Walks Out the Door
A fully staffed plant still loses hours to failures a retired technician would have caught in minutes. This playbook reframes the problem: knowledge is disappearing because no system was built to capture it. It lays out a three-part framework for closing that gap and shows what changed at one plant that stopped hiring its way out and instead started capturing what its people already knew.

ReportThe 2026 State of Maintenance Report
This year's report reflects a fundamental shift in how maintenance creates competitive advantage. While 90% of teams recognize what drives reliability, only 25% can consistently execute it. The gap between knowing and doing has become the defining challenge and opportunity of 2026.

Reliability method, evidence, and the cost of deferral.
- Reliability-centered maintenance Deciding what to maintain and how, based on consequence of failure.
- Mean time between failure Measuring reliability on plant that is not supposed to fail at all.
- Planned maintenance percentage The ratio that shows whether you are running the plant or reacting to it.
- Deferred maintenance What postponing work on redundant plant actually costs.
