WHAT CHANGES

What a CMMS changes across a portfolio

Residents, turns, and capital all compete for the same small on-site team. These are the four things property teams tell us they are trying to fix.

Resident requests arrive by phone, email, and the leasing office, and priority is whoever complained loudest.

One intake with the unit attached and response targets applied by request type, so triage is a rule rather than a mood.

Make-ready turns run on a whiteboard and a walk-through.

Turn work is a tracked checklist per unit with photos, so leasing can see readiness without asking maintenance.

Boilers, roofs, and common-area systems get attention when they fail.

Building systems sit on preventive schedules, and deferred work accumulates visibly instead of quietly.

You know portfolio spend but not what any property costs to keep.

Labor, parts, and vendor spend roll up per unit, building, and property, which is what an asset manager asks for.

KEY WORKFLOWS

Maintenance workflows across a community

Residents, turns, and capital planning on one small team. These are the hand-offs.

A resident reports a problem

  1. Request Portal Submitted from a phone or a QR code with the unit attached, no account needed.
  2. CMMS Priority and response target applied automatically by request type.
  3. Analytics Response and completion time by property, for the asset manager.

A unit goes make-ready

  1. Forms The turn checklist runs with photos as the work happens.
  2. CMMS Outstanding items are visible to leasing before a move-in is promised.
  3. Analytics Turn time and cost per unit accumulate for the budget conversation.

A capital item comes up

  1. CMMS Repair history on the roof, boiler, or elevator is already there.
  2. Capital Planning Condition builds per building, producing a funded and unfunded view.
  3. Analytics The request arrives with evidence rather than an anecdote.

NOVA

Ask across the portfolio without a report request

Nova is UpKeep's AI assistant, and it builds apps. Ask in plain language and it answers from your own property and work order data.

Multifamily maintenance software: common questions

What is multifamily maintenance software?

It is the system an apartment operator uses to take resident requests, run make-ready turns, and maintain building systems across a portfolio.

The measure residents feel is time to close a request. The measure ownership feels is cost per unit, and most portfolios cannot produce either reliably.

Is this different from your Property Management page?

Yes. Property Management is written for commercial property: tenants with leases, service charges, and a different compliance surface.

Multifamily is residential — the requests come from people who live there, turns are a recurring operational cycle, and the vocabulary is make-ready rather than fit-out.

Does UpKeep integrate with our property management system?

Not out of the box for Yardi, RealPage, or Entrata. UpKeep has a REST API and webhooks on the Enterprise plan, which is how operators sync unit and resident data today.

Be honest about this in evaluation: if a two-way sync with your PMS is a requirement rather than a preference, treat it as an integration project.

Can residents submit requests directly?

Yes, through the request portal or a QR code, with no account and no paid seat. Whether you route residents directly or through the leasing office is your policy call; both work.

Does it handle make-ready turns?

Yes, as tracked checklists per unit with photo capture. The value is less the checklist than the visibility: leasing can see what is outstanding without walking the unit.

How much does UpKeep cost for a portfolio?

Per user per month, based on maintenance headcount rather than door count. A portfolio can double without the licence count moving much. Residents and leasing staff submitting requests are free. See the pricing page for tiers.

How long does implementation take?

Weeks per property. Start with resident request intake and turns, because those are daily, and add building systems and capital condition after.
