What's the difference between CMMS and EAM?

If you need only maintenance management, a CMMS is the right fit. If you need full asset lifecycle governance, an EAM provides that additional scope.

Who needs a paid seat, and does an admin cost more than a technician?
An admin and a technician cost the same. Seats are priced per user on the plan you choose, and the rate does not change with what the person does in the system: Essential is $24 per user per month and Premium is $55 per user per month, with Professional and Enterprise quoted. Anyone who is assigned work or configures the system takes a paid seat.
Requesters and view-only users are unlimited and free on every plan. The people who only report a problem or watch a job progress never count against your seats, so you are paying for the crew doing the work rather than for everyone who touches the record.
Our ERP already has a maintenance module. Why add a CMMS?
An ERP records maintenance as cost. It is built for finance, and it is usually accurate about what was spent and vague about what was done. The work itself happens in front of the asset, on a phone, often with no signal, and that is the part an ERP maintenance module tends to be worst at.
UpKeep does not replace the ERP. Purchase orders, invoices and the general ledger stay where they are. UpKeep is where work is planned, assigned and closed, and the labor and parts cost flows back so the ERP still has the numbers. Teams generally run both, with the ERP as the financial record and UpKeep as the system technicians actually open.
Could we build something like this ourselves?
You can build a work order table quickly, and if that is all you need, build it. What takes the time is everything after: offline sync that survives a plant basement and resolves conflicts without losing a technician’s notes, permissions that hold up across sites, two mobile apps kept current in two app stores, and someone on call the week a PM schedule stops firing.
The honest test is not whether your team could build the first version. It is whether maintenance software is something you want to be maintaining in three years, and whether the people who would build it have something better to do.
Can technicians at one site be stopped from seeing another site’s data?
Yes. Permissions are scoped by location, so a technician at one site sees the work, assets and parts for that site and nothing else, while a regional or corporate view rolls the sites up. Each site can have its own admins under a global admin.
Custom roles, SSO and the multi-site modules are Enterprise plan features, so if the org chart is the reason you are buying, that is the plan to look at.
What happens when a work order goes overdue?
Due date reminders, push notifications and email alerts are on every plan, and managers can turn on a daily digest of what is open. That covers the common case, which is that somebody needs to notice.
Automatic escalation, where an overdue job reassigns itself or notifies a manager after a set threshold with no one watching, is workflow automation and is an Enterprise plan feature. Below that tier the notifications will tell you, but a person still has to act on them.
