The right tools weren't built for the job
Managing maintenance across a high-output food manufacturing facility demands more than a general-purpose system. For the Hellmann’s team, the tools they had weren't built for the pace or complexity of the work. Parts were hard to find, the system couldn't leave the desktop, and performance data existed in theory but not in practice. Hellmann’s transitioned to UpKeep and rebuilt how the team tracks inventory, manages work orders, and measures its own performance.
Challenge #1 : Parts & Inventory Were Nearly Impossible to Manage
Technicians had to recall cryptic SAP codes to identify parts, with no visual reference. Stockouts, missed reorders, and no clear asset-to-part mapping were daily problems.
Challenge #2 :SAP's Desktop-Only Experience Left Technicians Without Mobile Access
No mobile access meant technicians had to return to a workstation for every work order update, creating delays throughout daily maintenance operations.
Challenge #3: KPI Tracking Was a Goal, Not a Reality
Management wanted visibility into completion rates and approval times, but existing tools couldn't support real-time reporting or custom dashboards.
Solution #1: Visual, Photo-Based Parts Identification
Photo-driven inventory replaced code memorization. Each part shows images, quantities, minimums, and asset links with alerts for low stock and missed reorders.
Solution #2: A Full Work Order Experience on Mobile
Technicians create and receive work orders from anywhere. Planners photograph issues on the spot, then finalize and assign from the web app back at the office.
Solution #3: Real-Time Dashboards and Custom Reports
Out-of-the-box reporting and a custom dashboard builder gave management live visibility into completion status, completion rates, and approval request time with no outside help needed.
