We are so excited to announce the beta launch of our most requested feature to date from our customers. Introducing: Preventive Maintenance!
Preventive maintenance involves any planned changes to equipment to ensure assets are in strong working order, including (but not limited to) adjustments, repairs, cleaning, lubrication, and parts replacements. A strong preventive maintenance program is one that occurs with a regular schedule that you plan in advance.
Preventive Maintenance today is the foundation for all that is to come in the future in UpKeep. Today, you will be able to create triggers schedule time-based PMs in our web app. We’re so excited to unlock more for our admins, who can more precisely customize the frequency of scheduled work orders and get more out of their assets.
It's no secret that regular preventive maintenance reduces unplanned equipment downtime. With UpKeep's refreshed Preventive Maintenance, you will be able to create scheduled maintenance requests. We'll continually be updating this feature in the weeks and months to come. Our brand new Preventive Maintenance are the building blocks for the future, eventually housing meter triggers, automated workflows, and more.
Admins within UpKeep’s Starter, Professional, and Business Plus plans can access Preventive Maintenance as part of their paid packages.
The ability to easily schedule preventive maintenance was our most requested customer feature. We previously had scheduled maintenance exist in a separate section of the UpKeep app. In making the update, we wanted to not only make the user experience as simple and easy as possible, but also really wanted to deliver on our customer requests for a space that would house the future of maintenance, as we continually update and add more capabilities to UpKeep.
You asked, we listened. Here are just a few of the big changes you'll see:
A brand new Preventive Maintenance tab in the lefthand menu
Assign PMs according to time-zone
Assign time-based triggers to create preventive maintenance work orders

Now, all planned work orders that you'd like to schedule can be easily located in just one click in the lefthand menu. We've decluttered the process to make maintenance planning and scheduling as simple as possible.

Simplify your scheduling with preventive maintenance time-based triggers. By using planning maintenance checks and inspections in advance, your team can achieve overall equipment effectiveness with more accuracy and data. You can create time-based triggers for future work orders. In the future, we’ll be updating these triggers to include automated workflows, meters, and more.
Additionally, you will much more flexibility with adjusting the time of upcoming planned work orders. Something that has been requested a lot by our customers has been the ability to set the last day of the month for recurring PMs. Now, you can set work order schedules at the right time for your team to achieve lasting results.

The history tab will show you all of the work orders associated with a specific PM schedule. Now, you can more precisely audit your PM schedule. If you want to determine whether your team is performing the accurate amount of preventive maintenance on equipment, you can easily scan this tab to get insights immediately and make quick changes where needed.
Currently, you can still access automated workflows in the settings menu. Eventually, we will be moving this to Preventive Maintenace.
Plan out time-based preventive maintenance tasks and easily follow-up with technicians on the status of high priority checks or inspections. Create time-based triggers that will automatically assign work orders to your team
Automated recurring work orders increase equipment reliability and reduce expensive repair or replacement costs.
For example, before using UpKeep, the team at McCormick Foods was entirely reactive to any maintenance activities. When their most critical piece of machinery broke down, they would wait twelve weeks on the correct parts to arrive. Meanwhile, they were relying on a much slower back-up machine that generated much less production output, losing upwards of $2.4 million. With UpKeep's Preventive Maintenance, McCormick now has planned maintenance activities that prevent their important machinery from experiencing unexpected downtime. Now, they're focusing on reducing reactive maintenance to 60%.
With brand new email alerts, you will always be updated on all work order triggers. With more visibility and team communication around when you are planning maintenance activities, you can avoid under or over maintaining equipment.
We are continually updating Preventive Maintenance to give you more flexibility in how you assign preventive maintenance work orders to your team. Here's what you can expect to see in the coming months ahead within Preventive Maintenance:
Rolling updates to PMs
A refreshed calendar view of upcoming PMs
Event-based triggers and automated workflows
Usage-based maintenance and meter triggers
Predictive maintenance
Advanced scheduling
And much more!
